Have you ever wanted to host an international retreat, but not known where to begin?
This is the part most facilitators don’t see from the outside. The decisions that shape whether a retreat feels seamless or whether it unravels not as planned. Over the years, these are the questions that commonly arise, in the hope we can give you full confidence in building not only the retreat of your dreams, but the retreat your guests have dreamt of too.
How far in advance should I book a retreat venue?
For peak months, twelve to eighteen months ahead is a comfortable buffer. Retreat venues are booked as full-property hires rather than room by room, so a single booking can remove an entire week from availability.
If your retreat is tied to specific timing, such as a full moon gathering, a certification cohort, or summer holidays, moving early gives you the best chance of securing the exact dates you want.
That said, not every retreat needs that runway. We regularly see facilitators secure dates within six months, particularly when they’re working with an existing community, have flexibility on timing, or are open to shoulder-season availability (which is our favourite time to travel Portugal). Last-minute bookings can work exceptionally well when the foundation is already there; the venue simply becomes the space to transform it in.
How much does it cost to hire a retreat venue in Portugal?

Venue pricing across Portugal varies with each season, the capacity and what’s bundled in the experience, which is why comparing quotes line by line matters more than comparing headline rates; one venue’s “from” price includes catering, dedicated hosts, activities and amenities, while another’s is just the venue alone. It’s also important to consider all that is included.
What’s actually included when you hire a venue?
Always confirm four things in writing: the accommodation count, which practice and workshop spaces are included, whether catering is bundled or separate, and whether staff are on site during your retreat. This will help you align your decision-making better before booking your retreat.
Do I need to bring my own teachers and practitioners?
Bring the practitioners who define your programme; and a good venue supplements the rest. At Quinta Carvalhas, three yoga teachers offer Vinyasa, Hatha, Yin, Ashtanga and Couples Yoga, and massage, Reiki and treatments can be woven into your schedule, including coming to guests mid-retreat. Facilitated horse interactions on the ground with our herd need no prior horse experience and have become the session guests write to us about months later.
Can I run a corporate team building or a single-day event, or only multi-night retreats?
Single-day formats work here too: corporate days, training days and day retreats can be booked alongside the multi-night calendar. An hour from Lisbon makes a countryside day genuinely feasible for a city-based team, out after breakfast, back for dinner, without the overnight costs of staying onsite.
